(Legacy) Adobe Acrobat 9 Pro: Annotating a PDF File: Working with Markups

Note: This article is based on legacy software.

PDF markups are meta-notes indicating editing requirements, confirmation, and other transactions. Markups are useful for making comments that you do not want to appear on the published PDF file. This document explains how to use the Show tool and how to modify markups. It also explains how to move, resize, and delete markups. For more information on the Comment and Markup tools, please refer to Using the Comment and Markup Tools and Using the Text Edits Tools.

Using the Show Tool

The Show tool on the Comment & Markup toolbar allows you to see only desired comments and comment properties.

NOTE: If the Comment & Markup toolbar is not visible, from the View menu, select Toolbars » Comment & Markup.

  1. On the Comment & Markup toolbar, click Show show » select the desired option.
    NOTE: An option is selected if a checkmark appears before it.

HINT: Connector lines still only appear when the cursor is placed over the markup.Align New Pop-Ups by DefaultAligns pop-ups in the default order.
  1. Repeat step 1 until you achieve the desired effect.

Modifying Markup Properties

Available options will vary depending on the markup you are working with. These instructions use the example of working with a Sticky Note.

  1. Right click the markup icon you wish to modify » select Properties...
    The Properties dialog box for the markup you selected appears.
    NOTE: The dialog box may look slightly different depending on the type of markup you select.

  2. To change the color of the markup,
    1. Select the Appearance tab.
    2. Click Color. color
    3. From the Color palette, select a color.
    4. To adjust the opacity of the markup, move the Opacity slider bar.
    5. (Optional) From the Icon scroll-list, select the desired icon.

  3. To change general information about the markup,
    1. Select the General tab.
    2. In the Author text box, type the name of the editor.
    3. In the Subject text box, type the subject of the markup .
      EXAMPLE: Type Conclusion.

  4. Click OK.

Moving Markups

  1. From the Select & Zoom toolbar, select the Hand Tool. hand tool

  2. Move the cursor over the markup until it turns into a pointer or a multi-directional arrow.

  3. Click and drag markup to the desired location.

Resizing Markups

  1. From the Select & Zoom toolbar, select the Hand Tool. hand tool

  2. Click on the markup you would like to resize.

  3. Position the mouse over a corner handle until a double-headed arrow appears.
    NOTE: Some markups cannot be resized (e.g., Sticky Note bubble). If selection handles do not appear, the markup cannot be resized.

  4. Click and drag the corner handles for the desired size.

Deleting Markups

Methods for deleting markups depend on the kind of markup you intend to delete.

  1. From the Select & Zoom toolbar, select the Hand Tool. hand tool

  2. Right-click the markup you wish to delete » select Delete.
    OR
    Select the markup and press [Delete].
    The markup is deleted.
