How to Set Up and Use Calling Delegation in Microsoft Teams
Calling delegation in Microsoft Teams allows one user (the delegate) to manage calls on behalf of another person/department (the delegator). This includes making and receiving calls, modifying voicemail greetings, checking call history, and updating delegation settings.
This article walks through the core tasks:
- Set up a voicemail greeting for the delegator/generic account
- Place a call as the delegator
- View call history for the delegator
- Add or Remove delegates
- Update delegation settings
**1. Set Up Greeting
(You must sign into Teams as the delegator account)**
To modify the voicemail greeting for the delegator, you must sign directly into Teams using the delegator’s account. Delegates cannot change voicemail greetings on behalf of someone else.
Steps
- Switch accounts

- Choose the three dot menu in the upper right.
- Select Call settings.
- Under Voicemail, select Configure voicemail.
- Record or type the desired greeting, then save your changes.
- Sign out of the delegator account and sign back into your own.
2. Call As the Delegator
If you are a delegate, you can place outgoing calls that appear to come from the delegator.
Steps
- Open Microsoft Teams.
- Select Calls.
- In the dial pad or contact list, look for the option labeled Call as.
- Choose the delegator’s name.
- It will dial the number from the delegated account.

**3. View Call History
(Delegate)**
Delegates can access and review call history for the delegator.
Steps
- Open Teams.
- Select Calls.
- Use the navigation at the top of the Calls Pane to select the delegate account.
- In the center column will be calls made to and from that delegated account.
4. Add or Remove Delegates
- Open Teams.
- Select your profile photo.
- Select Settings then Calls.
- Select the delegate accout at the top of the Calls pane.
- Select the manage button
- To add
- Type the person's name in the text box
- To Remove
- Click the trash can at the end of their name line.

5. Update Delegation Settings
Either the delegator or an assigned delegate can update delegation settings.
Steps for Delegators
- Open Teams.
- Select your profile photo.
- Select Settings then Calls.
- Under Call delegation, select Manage delegates.
- Add or remove delegates as needed.

- Choose the permissions you want each delegate to have. Examples include:
- Make calls
- Receive calls
- Manage call settings
Steps for Delegates
- Open Teams.
- Select Calls.
- In the upper right, find the drop down that lists the delegator.
- Select Manage delegation (if allowed).
- Make updates based on the permissions that have been granted to you.
