Overview
Headings and styles provide structure that helps screen reader users navigate email content efficiently.
Considerations
- Start with Heading 1 for the main title.
- Screen readers do not read the “Title” format.
- Use Heading 2 for major sections and Heading 3–6 for subsections.
- Use Normal text for paragraph content.
- Do not skip heading levels.
- The Outlook Mac app does not support Styles; use Outlook 365 when possible.
Steps
Windows (PC App) / Outlook 365 (Web)
- Select the text you want to format.
- Select Styles (pencil icon with a capital “A”).
- Choose the appropriate heading level.
macOS
- Select the text.
- Right-click and select Paragraph.
- Under Indents and Spacing, set the Outline level.
- Level 1 = Heading 1, Level 2 = Heading 2, etc.
- Manually adjust font:
- Use Aptos (Display).
- Suggested sizes:
- Heading 1: 16 pt
- Heading 2: 14 pt
- Heading 3: 12 pt
