1. Purpose of Procedures

The purpose of this procedure is to provide structure and standards for securing permission for use of Sonnentag Center facilities.

2. Responsible University Officer

Vice Chancellor for Finance & Administration

3. Definitions

All definitions are consistent with UW-Eau Claire University Policy (UWEC) 780, Use of Sonnentag Center Facilities.

General Manager: the General Manager of the Sonnentag Center, or their designee when the General Manager is unavailable or has delegated authority.

University Athletics Competition: any NCAA-sanctioned intercollegiate athletic competition, including games, matches, scrimmages, and tournaments, in which a UW-Eau Claire athletic team is a competitor.

University Athletics Practices: any NCAA-sanctioned intercollegiate athletic practice in which a UW-Eau Claire athletic team is a participant.

4. Procedures

A. Securing Permission to Use Facilities

I. All requests to use Sonnentag Center facilities will be reviewed and decisioned by the General Manager.

II. All use requests from university users must be submitted by the following deadlines. Requests received after the deadline will be reviewed and decisioned at the discretion of the General Manager.

  a. March 15 for reservations from August 15 to December 31

  b. October 15 for all reservations from January 1 to May 15

  c. November 15 for all reservations from May 16 to August 14

III. The General Manager will work with users to confirm space availability, event requirements, setup needs, and applicable pricing.

IV. The General Manager will execute a facility use agreement for all non-university users and may require an executed facility use agreement for university users.

V. The General Manager reserves the right to reschedule, relocate, or cancel any event for university users if another use request would provide significant benefit to the university. Affected users will be notified a minimum of seventy-two (72) hours in advance, and the General Manager will work with the affected user to identify an alternative location or reschedule the event when possible. The Sonnentag Center will reimburse affected users for reasonable expenses directly incurred as a result of a university-initiated relocation or cancellation. The General Manager may consult with the Vice Chancellor for Finance & Administration on final decisions. Relocation of university athletic competitions requires Chancellor approval, in consultation with the Vice Chancellor for Finance & Administration and the Director of Athletics.

B. Use Prioritization Guidelines

I. The General Manager will use the following as a guideline when reviewing and decisioning use requests.

  a. Event Center and Field House

    1. Scheduled university Athletics competition

    2. Revenue generating events by the City of Eau Claire or Visit Eau Claire

    3. Revenue generating events by non-university users

    4. University Athletics practices

    5. University Recreation club and intramural events

    6. Other university users

  b. Blugold Room

    1. Revenue generating events by non-university users

    2. University Athletics

    3. Other university users

    4. Non-revenue generating events by Mayo Clinic

  c. Lobby

    1. Revenue generating events by non-university users

    2. University users

  d. Fitness Center Studios

    1. Revenue-generating fitness programs

    2. University Recreation fitness programs

    3. Other university users

  e. Event Center Fan Decks

    1. Chancellor’s Office

    2. Sonnentag Family

    3. Revenue generating events by non-university users

    4. University Athletics

    5. Other university users

  f. Lower Fitness Team Training Zone

    1. University Athletics

    2. University Recreation club sports

II. All spaces not listed above may be reserved at the discretion of the General Manager.
