This guide walks you through the process of opening, editing, and saving changes to an existing Knowledge Base article. Both Owners and Editors can edit articles they have been granted access to.
Overview
- Purpose: Update or revise an existing KB article.
- Expected outcome: A revised article saved with your changes.
- Time required: Varies depending on the scope of changes.
Prerequisites
- Owner or Editor access to the Knowledge Base.
- Edit permissions for the specific article you want to update. If you need access to an article, contact the KB Team.
Steps
- Log in to UW-Eau Claire's Knowledge Base.
- Navigate to kb.uwec.edu.
- Click the hamburger menu icon at the top left of the page.
- Click Sign In.
- Type your username and password.
- Click Sign in.
- Complete Okta login with your preferred method.
- From the left navigation menu, click Articles.
- Locate the article you want to edit. You can search by title or browse by category.
- Click Edit under the Actions column.
- Update content in Body.
- Review the full article before making changes to understand the current content and structure.
- Make your edits using the editor toolbar. Use built-in heading styles, list tools, and link tools rather than manual formatting.
- If you are adding or replacing images, resize to 500px wide or smaller and add descriptive alt text.
- If you are updating steps or instructions, test them to confirm they are accurate before saving.
- Update the meta description in the Summary field under Meta Information if the content has changed significantly.
- NOTE: Do not create a new article to replace an outdated one. Update the existing article instead. If a new article must be created, consider unpublishing the old article to avoid confusing users or creating duplicate content.
- Click Update Article when your edits are complete.
Verification
- Your changes are visible when you view the article.
- The Last Updated date reflects your update.
Troubleshooting
- I can't find the Edit button: Confirm you have been added to the correct Editor Group for that article. Contact the KB Team if you need access.
- I accidentally made changes I don't want to keep: Navigate away from the article without saving to discard your changes.
