Collection Phase

How to access the SPOT survey landing page

• Email invitation: You will receive an email invitation sent to your UW-Eau Claire email address from feedback@surveys.uwec.edu.Click the link in the email to go directly to your course survey to view response rates and see QR code or links. 
• Canvas: Access evaluations by clicking the "SPOT survey" link in the left side navigation menu of your Canvas course. 
• Direct login: Navigate directly to the website landing page at uwec.bluera.com
• My Apps Dashboard has a tile for SPOT survey 
• SPOT survey SharePoint Page has a button at the top to access the landing page

How to navigate to my courses on the UWEC SPOT survey landing page

Once at the landing page, you have two ways to access your courses

1. Start in your SPOT survey landing page at uwec.bluera.com.
2. Click the "Manage your course tiles" link in the Course Tile Overview section on the left side of the screen
3. Go to " My Active Tasks" or "Tasks" and click the start button on the right

How to read the status on my course(s) tile(s)?

Arrow A: This indicates the status of the survey

• Ready - Ready means the survey is set to begin. Some optional tasks may still need to be completed. This is typically the first stage of the evaluation process.
• Live - The survey has started. Respondents can access their tasks through email, LMS or by other means communicated with them already. A QR code option is a good choice for in-person events.
• Completed - The survey has ended, and evaluations can no longer be filled out.
• Opted out - This survey has been skipped. No invitations will be sent, and no results will be collected for this evaluation.
• Paused - The survey has been paused. This will temporarily prevent anyone from providing feedback until it is unpaused and goes Live again. This is useful if you started the evaluation prematurely and want to start it again at a later date.

Arrow B: This indicates the course title, along with the course number and section number. Any section number that starts with a B or an L is managed through the UWEC Barron County campus and does not need to be managed by department chairs at this time.

Arrow C: This indicates the date on which the SPOT survey will go out to students. Once this date has passed, changes to SPOT surveys are not allowed.

Arrow D: This indicates the date the SPOT survey closes to students and staff. No surveys can be completed after this date.

Arrow E: This button allows staff to access the Invitee Lists, QR Code and manage settings

Arrow F: This button opens the Manage Settings window. In this window, you can turn off the SPOT survey. This window also allows date changes for SPOT surveys, but only if department policy allows it.

How to monitor response rates

1. Start in your SPOT survey landing page at uwec.bluera.com.
2. Click on the course of interest, either in your subject management tile or the My Active Tasks list.
3. A course card will appear with the current response rate and end date                   

How to get a link and/or QR code for a course

1. Start in your SPOT survey landing page at uwec.bluera.com.
2. Click on the course of interest, either in your subject management tile or the My Active Tasks list.
3. A course card will appear, click in the bottom right corner of the course card. This will be three horizontal dots.
4. Go to Manage Settings             
5. Click on "view QR code"                                                                                                   

How to resend a SPOT survey e-mail link

1. Navigate to the course card.
2. Click on the three horizontal dots in the bottom right corner
3. Click on "View Invitees"                                                                                           
4. Click on "Resend invitation emails to all raters who have not submitted" at the bottom.

Reporting Phase

How to view response rates when SPOT surveys are open to students?

1. Go to the SPOT survey home landing page. You can access the SPOT survey using the following method
   
   • Use the following URL address: uwec.bluera.org
   • Find the survey on the My App Dashboard
   • SPOT survey SharePoint Page has a button at the top to access the landing page
   • Click on the link in the notification email
   • Click on the SPOT survey link in your Canvas course
2. Navigate to the course tile. You can find the course tiles in your task list or on the left side of the SPOT home landing page.
3. View the response rate icon in the upper right corner of the tile.

How to view response rates when SPOT surveys are closed?

1. Go to the SPOT survey home landing page. You can access the SPOT survey using the following method

   4. Click on the link in the notification email
   5. Click on the SPOT survey link in your Canvas course
