Teams Phone Calling Delegates

How to Set Up and Use Calling Delegation in Microsoft Teams

Calling delegation in Microsoft Teams allows one user (the delegate) to manage calls on behalf of another person/department (the delegator). This includes making and receiving calls, modifying voicemail greetings, checking call history, and updating delegation settings.

This article walks through the core tasks:


**1. Set Up Greeting

(You must sign into Teams as the delegator account)**

To modify the voicemail greeting for the delegator, you must sign directly into Teams using the delegator’s account. Delegates cannot change voicemail greetings on behalf of someone else.

Steps

  1. Sign out of Teams on your device.First select account in upper right corner, then select Add another account
  2. Sign back in using the delegator’s account credentials.
  3. In Teams, select the Calls app on the left.
  4. Select Voicemail.
  5. Choose the three dot menu in the upper right.
  6. Select Call settings.
  7. Under Voicemail, select Configure voicemail.
  8. Record or type the desired greeting, then save your changes.
  9. Sign out of the delegator account and sign back into your own.

2. Call As the Delegator

If you are a delegate, you can place outgoing calls that appear to come from the delegator.

Steps

  1. Open Microsoft Teams.
  2. Select Calls.
  3. In the dial pad or contact list, look for the option labeled Call as.
  4. Choose the delegator’s name.
  5. Dial the number or choose a contact.
  6. Place the call. The recipient will see the call coming from the delegator.

**3. View Call History

(Delegate)**

Delegates can access and review call history for the delegator.

Steps

  1. Open Teams.
  2. Select Calls.
  3. Open the drop down next to your profile photo at the top of the Calls pane.
  4. Choose the delegator’s name.
  5. Call history will update to show all calls for that person including missed calls, placed calls, and received calls.

4. Update Delegation Settings

Either the delegator or an assigned delegate can update delegation settings.

Steps for Delegators

  1. Open Teams.
  2. Select your profile photo.
  3. Select Settings then Calls.
  4. Under Call delegation, select Manage delegates.
  5. Add or remove delegates as needed. Teams phone add delegate button

  6. Choose the permissions you want each delegate to have. Examples include:
    • Make calls
    • Receive calls
    • Manage call settings

Steps for Delegates

  1. Open Teams.
  2. Select Calls.
  3. In the upper right, find the drop down that lists the delegator.
  4. Select Manage delegation (if allowed).
  5. Make updates based on the permissions that have been granted to you.
